Volunteering and Coaching in MPCSD

Anyone wishing to volunteer working with students must register and complete the fingerprinting/TB risk assessment process. Volunteers may support the schools, staff, and students under the immediate supervision of a staff member. This includes classroom/library helpers, field trip chaperones, hot lunch servers, athletic coaches, and any role that interacts with students.

In addition, after school program (ASP) vendors must fingerprinted. All ASP vendors certify that their instructors have completed fingerprinting through their own organizations.

You only need to complete the fingerprinting process one time. Once you finish, you are done for the entire time you remain in the district. Note, if you separate from the district for more than two years, you would need to be fingerprinted upon returning.

If you come to campus as a visitor, you do not need to be fingerprinted. A visitor is a guest, spectator, or participant attending an academic, sporting, or social event, visiting a classroom, attending a performance as a member of the audience, Back-to-School Night or Open House, or a parent-teacher conference.

Yes. MPCSD is now requiring all parents, volunteers, and coaches to register to volunteer and complete the fingerprinting process. Only volunteers and coaches who have completed the fingerprinting process will be allowed to interact with students.

This is required by law under California Code, Education Code - EDC § 49406: A volunteer in a school shall also be required to have on file with the school a certificate showing that, upon initial volunteer assignment, the person submitted to a tuberculosis risk assessment and, if tuberculosis risk factors were identified, was examined and found to be free of infections tuberculosis. If no risk factors are identified, an examination is not required,

This is one of several measures to ensure student safety. State law requires all school districts in California to fingerprint adults who will be working with children. Fingerprints are sent to the Department of Justice and Federal Bureau of Investigation for criminal background checks. The results are sent directly to MPCSD. Only the fingerprint custodians see the report and by law are not allowed to share the record with anyone else or with any other agency.

MPCSD has no control over the DOJ/FBI reporting timeline. The process can take anywhere from a couple of days to many weeks or longer. Check with your school site office for the status update (in process or complete). Delays may be caused by poor fingerprint quality or data sourcing issues.

Once fingerprinting results are received, Human Resources activates the volunteer, and the volunteer will be emailed a SchoolPass "EventPass." This pass will indicate the volunteer type is Approved Volunteer, rather than Visitor, and will include a QR Code and an 8-digit Quickpin that will be valid for the entire school year or until the volunteer is deactivated by Human Resources. Volunteers may screenshot their pass and use it each time they visit a school site. Note: For the purposes of picking up or dropping off students, parent volunteers should not use their volunteer EventPass, but their regular SchoolPass Digital ID.

Parents with students in the district are fingerprinted only one time. If you separate from the district for two or more years, you will be required to get fingerprinted upon your return if you wish to volunteer/coach again.

Yes. Result cannot be shared between agencies due to confidentiality. Even if you have been cleared by another agency, you must submit finger prints to MPCSD.

The cost of fingerprinting can vary depending on the service center. MPCSD does not want cost to be a barrier to you becoming a volunteer and/or coach. If the fingerprinting cost would be prohibitive for you to volunteer, please let our Human Resources Department know, as a limited number of scholarships are available. Data Privacy

Your personal information is collected by the California Justice Information Services (CJIS) Division of the Department of Justice (DOJ) to process background checks for various purposes, including employment, volunteer work, or licensing. This is authorized under a number of state laws. The information you provide may be shared with authorized agencies and with other government entities to perform legal duties as required by state or federal law. Failure to provide all requested information will result in delays or the rejection of your request.

All the data you enter for Live Scan is sent to the Department of Justice and the FBI. After 30 days, the data is no longer accessible to the Live Scan operators. Live Scan computers are kept locked up, and hard copy papers are kept under lock and key for one year and then are shredded after one year per the Department of Justice/FBI requirements.
